Automated Directory Maintenance (ADM) keeps the Surescripts Directory clean and accurate. It identifies provider and organization records that haven’t transacted in a long time and removes or updates them based on message activity.

Why it matters: ADM helps prevent care delays by ensuring only active, transacting providers and organizations remain in the directory.

What it does:

Checks each record’s last transaction date.

Updates or removes records according to ADM rules.

Standardizes addresses when they weren’t standardized during registration.

Provides a search page so users can look up an SPI and see which ADM rule applies.

From the Directory Manager home page, click Search under the Automated Directory Maintenance (ADM) Activity tab. If ADM is not visible, please contact a Surescripts representative for access.

Utilize the search parameters to locate records. You may enter your SPI to access all associated records or search by date range, account, portal, or reason code.

The search results will display a list of records that have undergone changes. Each record will detail the changes made, the reason for those changes, the associated account and portal, and the last date of message activity. You can select the Identifier hyperlink for more detailed information.

To uphold the quality and integrity of the Surescripts Directory, minimize delays in patient care, and bolster ongoing fraud mitigation efforts at Surescripts, ADM utilizes the following processing criteria to assess and update Directory records according to multiple business rules:

When there is no NewRx activity: ADM removes all E-Prescribing service levels from an SPI. The SPI will be disabled if it only possesses E-Prescribing service levels. Criteria:

The SPI has maintained the NewRx service level for at least 365 days.

The SPI has not transmitted a NewRx message in the past 365 days.

When there is no Refill activity: ADM removes the Refill service levels from an SPI. Criteria:

The SPI has retained the Refill service level for no less than 45 days.

The SPI has received a RxRenewalRequest message in the last 90 days.

The SPI has not conveyed a RxRenewalResponse message following the request.

Remove service levels at expiration: ADM eliminates all service levels when an SPI’s active end time is achieved. Criteria:

The SPI’s active end time has been reached.

When there is no Change activity: ADM removes the RxChange service level from an SPI. Criteria:

The SPI has upheld the RxChange service level for a minimum of 60 days.

The SPI has received at least ten RxChangeRequest messages in the last 36 days and has not sent a response.

What occurs if a pharmacy attempts to send a RxRenewalRequest message to an SPI that has had Refill removed?

The pharmacy will receive an error message indicating that the SPI is not enabled with the Refill service level. The sender should initiate an alternative manual process.

Is it possible to view which SPIs have been affected by ADM?

Yes. Users of Directory Manager can navigate to the ADM Activity page in Workbench to search for and download information regarding their affected Directory records.

What is the process for re-enabling a provider record or re-adding a service level?

Adhere to your standard process for re-enabling records or re-adding service levels. Your system may need to update or reactivate SPIs affected by ADM. If required, follow your standard procedures for adding service levels and re-enabling SPIs.

Can I preemptively identify which SPIs will be impacted by ADM?

Yes. Users of Workbench can download the daily ADM_Activity_Forecast report from the Reports page. The ADM_Activity_Forecast report includes SPIs that will face impacts from ADM in the following seven days.
